DocAlerts and its operators (“we”, “us”, “our”) operate the DocAlerts service at www.docalerts.ca. This Privacy Policy explains how we collect, use, and protect your personal information when you use our service. If you have questions, contact us at support@docalerts.ca.

When you sign up, we may collect:

• First and last name
• Email address
• Phone number
• Postal code
• Age bracket
• Language preferences
• Notification preferences (email, SMS)
• Preferred search radius

When you use the service, we may also automatically collect:

• Marketing attribution data (how you found us)
• Conversion events via Meta Pixel (e.g. signup completion)
• IP address (for security and rate limiting)

• Send you clinic availability alerts via your chosen channels
• Determine your approximate location from your postal code to find clinics near you
• Determine clinic availability status to notify you of changes
• Measure when an alert you clicked leads you to a clinic's website, so we can tell clinics how many people came to them from DocAlerts. We share counts only, never who clicked.
• Communicate service-related updates
• Improve and maintain the service

When you ask to register with a clinic through one of our registration pages, we collect the details you enter: your name, date of birth, email, phone number, postal code, preferred language, the family members you want to register with you, and the times that suit you for a first visit. We collect basic demographics only. We do not ask for or collect health information.

We share these details with one party: the clinic you chose. The clinic uses them to review your request and, if they accept you, to contact you and set up your patient record. Once a clinic accepts your request, the information you provided becomes part of your relationship with that clinic, and their own privacy practices apply to it alongside ours.

We keep your registration request while it is open. If the clinic declines your request, you withdraw it, or it expires, we remove your personal details from it after 90 days and keep only anonymous counts. If a clinic accepts you, your record stays available to that clinic while their account is active.

You can withdraw an open request at any time using the link in your confirmation email. Withdrawing a request does not affect your DocAlerts alert subscription; you stay on the alert list unless you unsubscribe.

Registration through DocAlerts is free for patients, always.

We use AI to monitor clinic websites and classify their availability status. Your personal information is stored in production systems that our AI development tools do not have access to. When our team develops or debugs DocAlerts, we use pseudonymized data. Names, email addresses, phone numbers, and full postal codes are removed or replaced with synthetic values; internal record identifiers are kept so we can investigate support issues tied to a specific account.

We share limited data with the following providers to operate the service:

We do not sell your personal information to third parties.

Some of these providers process data outside Canada, primarily in the United States. Where that happens, we rely on contractual safeguards with the provider and share only what the table above describes.

We retain your information while your account is active and for a reasonable period afterward for legal and operational purposes. You may request deletion at any time by contacting us at support@docalerts.ca.

Under Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), you have the right to:

• Access your personal information
• Request correction of inaccurate data
• Request deletion of your data
• Withdraw consent for communications

We use reasonable technical and organizational measures to protect your personal information, including encrypted data transmission. However, no method of transmission or storage is 100% secure.

We use Meta Pixel to measure the effectiveness of our advertising. This tool may collect information about your activity on our site and report it to Meta (Facebook). You can manage your ad preferences at Meta Ad Preferences or use a browser ad-blocker to opt out.

DocAlerts is intended for users who are 18 years of age or older. We do not knowingly collect personal information from anyone under 18.

We may update this Privacy Policy from time to time. Changes will be reflected on this page with an updated “Last updated” date.
